Description

We are seeking a proactive and detail-oriented Office Manager (60-80%) to oversee the day-to-day operations of our branch Basel. The Office Manager will ensure the workplace runs smoothly, supporting staff, maintaining office systems, and fostering a productive and positive work environment. This role is critical in keeping operations efficient and maintaining a professional environment for employees and clients. The Office Manager reports directly to the COO Division Zurich/Basel.


Mission

We are seeking a proactive and detail-oriented Office Manager to oversee the day-to-day operations of our branch Basel.


Main responsibilities

  • Office Operations Management
    • Maintain and organize office operations, systems and procedures
    • Monitor and replenish office supplies, equipment, and services
    • Coordinate with vendors for office maintenance, repairs, and improvements
  • Administrative Support
    • Manage branch appointments and correspondences
    • Organize company events, meetings, and branch activities
  • Cashier Desk
    • Responsible for cashier desk Basel
    • Responsible for audit tasks for cashier desk Basel
  • Staff Support
    • Assist onboarding and orientation for new hires
    • Maintain office policies
  • Financial Administration
    • Assist in budget management and invoice processing
    • Collaborate with accounting to mange petty cash
  • Communication and Culture
    • Act as the primary point of contact for internal communication in Basel
    • Ensure the office adheres to health, safety, and compliance standards
  • Corporate Social Responsibility
    • Support and manage the CST activities/projects of the Basel branch
    • Collect data for carbon footprint assessment and maintain statistics
    • Actively participate at the internal worldwide CSR meetings by video conference and deliver results from the Basel branch

This is a permanent, 60-80% role located in Basel.

(Due to the responsibilities of this role, remote work is unfortunately not possible or only very limited.)

    Education

    • Education: Diploma
    • Certification: Apprenticeship or similar qualification
    • IT Tools: Strong Microsoft Office skills

    Experience

    • Years of experience: 7-10 : senior
    • Experience required:
    • Proven experience as an Office Manager, Administrative Manager, Personal Assistant, or a similar role (7-10 years experience)
    • Excellent organizational and multitasking skills
    • Experience in communicating professionally with various stakeholders on different seniority levels
    • Experience in private banking: Preferred
