General Services - Support Officer (M/F)

Description

As part of the COO Division the General Services Team is in charge of ensuring the properly functioning of UBP premises in Luxembourg by providing support on facilities services to the staff.

Mission

Provide general services support by: Ensuring the maintenance of UBP's appliances, Coordinating property management, Ensuring the stock of supplies, Preparing corporate events, Executing the business processes in the Department’s scope.

Challenges

Dealing with a broad range of different activities within the office in an international and high pace environment.

Main responsibilities

Scope of tasks :

  • Ensure the right and timely maintenance and repair of the different appliances at the Bank’s premises and coordinate with the service providers their interventions.
  • Participating and contributing to the maintaining of the office safety and security.
  • Ensure the office premises are in perfect shape, liaising with cleaning services, arranging repairs, improvements.
  • Ensure the procurement of various office supplies, stationery, furniture, equipment, services as per the needs of the Bank.
  • Ensure the maintenance and service contracts are in order as well as the invoices are checked, confirmed, booked and paid, controlling the according budgets.
  • Managing the Bank’s document archive (internal and external), making sure the new documents are properly accounted as well as the expired documents are destroyed as per the Bank’s procedures.
  • Liaising with business departments on the matter of the business processes in scope such as postal services, reception service, ordering of various branded materials, supporting the internal gatherings and special events.
  • Liaising with the public authorities on the matter of the regulations in scope.
  • Contributing to the creation of the Bank’s policies and procedures in the area of responsibility.
  • Occasional assisting local IT in their logistics such as working places moves, basic cabling, printers maintenance.

 

Notice: In accordance with the provisions of the Luxembourg law of 23 July 2016 amending the law of 29 March 2013, retained candidate will be required to provide an extract from their criminal record as a part of UBP screening process.

Education

  • Education: Bachelor Degree
  • IT Tools: MS Office expertise

Experience

  • Years of experience: 3-7 : intermediate
  • Experience required: Minimum 3 years experience on similar position.
  • Experience in private banking: N/A

Language

  • French: Fluent
  • English: Advanced

Personal skills

  • Swiss resident: N/A

  • Mandatory :
  • A strong IT user of the standard Office applications.
  • Multitasking, stress-resistance, capability to work in a demanding environment.
  • Languages – French fluent spoken and writing, English at least intermediary spoken and writing.
  • Capable to do physical activities such as occasional furniture move.
  • Driver license B.
  • Availability for exceptional out of business hours calls and presence at the office, including weekends.
  • In possession of training certificates in safety, physical security, premises security, fire evacuation, first aid or "Travailleur Designé".
  • Handyman/technical skills sufficient to understand the appearing problems in the area of premises maintenance and how to solve them.
