Outsourcing & Procurement Specialist

Description

Group COO is a vast and key division of the Bank, headed up by the group Chief Operating Officer, covering several departments supporting the client facing teams. It strives to provide both in-house and external clients with a first-rate service to ensure our business operates efficiently and reliably. The division comprises Operations, Finance, Credit Structuring and Administration, Information Technology, Human Resources, General Services (real estate, travel and logistics), Security and Data Governance as well as Change Management & Controls. All department heads report into the group COO.

Mission

Supporting the Procurement team, the Outsourcing & Procurement Specialist will contribute to different sourcing projects, outsourcing tasks and Group insurance.

Challenges

Working within the Procurement team, the position holder will support on supplier due diligence, negotiations and purchase orders handling. With special focus ensuring that the bank is compliant with FINMA and EBA financial outsourcing requirements, by working closely with service owners, risk, security and IT departments.

Main responsibilities

Support and manage procurement projects, including negotiations with suppliers.

Support on the "Financial Outsourcing" tasks:

  • Manage supplier Due Diligence, i.e., requirements on KYS “Know your Supplier”
  • Annual reviews of critical providers
  • Support to UBP branches and entities on Outsourcing
  • Support reviewing contracts and update them to regulation requirements, if necessary.
  • Administration of UBP’s Outsourcing Register
  • Processing Purchase Orders and support on the Procure to Pay process (Coupa).

Support on management of UBP’s Group Insurance portfolio (professional and non-professional).

Education

  • Education: Bachelor Degree
  • IT Tools: MS Office (Excel, Word, Powerpoint, …)

Experience

  • Years of experience: 0-3 : beginner
  • Experience required: It would be a plus to have some background in Procurement, Procure to Pay processes/tools and contract terms
  • Experience in private banking: Optional

Language

  • English: Fluent
  • French: Fluent

Personal skills

  • Swiss resident: Optional

Service oriented person with good communication and organization skills Problem solving skills and results driven person Proactive- anticipate risks and mitigate them Analytic, methodic and organized person Ability to work in a team Procurement and Procure to Pay processes/tools or legal would be an asset.
